This notice describes Noir Black’s hosted customer service and ChatGPT connection. It supplements the website privacy notice. The customer service is provided by Noir Black; privacy and access requests can be sent to book@noirblack.com.

Information you provide

An initial enquiry needs your name and at least one usable email address or phone number. You can add the itinerary, passengers, luggage, accessibility requirements, flight details and other service notes progressively. We ask for the operational details needed before issuing an actionable quote or confirming a reservation. Do not include unnecessary health, identification or financial details.

Where the information goes

Noir Black saves your enquiry and service records in its Payload CRM. Its authorized team uses those records to review the request, prepare private quotes, manage the reservation and respond to amendments or cancellations. Existing automation supports service notifications and staff queues. Hosting and service providers process the minimum information needed to deliver these functions.

Email verification uses Noir Black’s configured email provider. Cloudflare provides hosting and anti-abuse checks. The existing Square arrangement handles payment invoices and card data. Card details are entered directly with Square and are not collected by the ChatGPT connection.

What ChatGPT receives

Using the website does not automatically upload your enquiry records or your conversation to ChatGPT. If you explicitly connect your verified Noir Black identity and ask ChatGPT for a private request result, the integration returns a limited projection of records you are authorized to access: request reference, non-sensitive planning preferences, lifecycle status, approved quote amount, currency, deposit, validity and payment summary. It does not return contact details, exact pickup or destination addresses, verification codes, internal prices, costs or margins.

Complete quote terms and precise itinerary details are shown on the secure Noir Black page. Information returned to ChatGPT is also handled under your agreement and privacy settings with OpenAI. We do not ingest whole conversations by default. You can revoke the connection from the customer access page.

Consent and service contact

Submitting an enquiry authorizes Noir Black to use the supplied details to review and respond to that service request. Marketing consent is optional and separate. Declining marketing does not prevent a service enquiry. You can unsubscribe from marketing through its provided mechanism.

Access and security

Public catalogue information does not require a Noir Black account. Private records and consequential actions require verified customer access and a record-level ownership check. An enquiry reference, typed email or shared integration credential alone does not establish ownership. Access tokens expire, refresh tokens rotate and a disconnected grant is revoked. Operational logs omit customer text, addresses and credentials.

Retention and deletion

Unsubmitted drafts expire after seven days. Expired drafts and short-lived authentication records are removed by the configured maintenance process. Submitted enquiry, consent, quote, payment and audit records are retained under Noir Black’s operational and applicable legal or financial obligations. Request access, correction or deletion through the customer page or by contacting the team. The team will verify your identity, complete the supported changes and explain any required retention. Deleting a record does not itself cancel a reservation.

Reviewer data

A dedicated publisher reviewer account uses isolated synthetic records. These records are excluded from genuine business reporting, outbound customer and staff notifications, and live payment creation.
